The Official Acceptance Letter issued for the conference may be used to apply for your Conference Visa. We strongly recommend applying for a Conference Visa rather than an e-Visa, as e-Visas have previously caused unexpected entry issues into India.
Recommended Timeline
At least 90 days before travel
Begin visa research and gather documents.
60–45 days before travel
Submit visa application with acceptance letter.
30 days before travel
Follow up with the consulate if required; prepare travel plans.
7–14 days before travel
Confirm visa approval and check entry requirements.
Recommended Visa Category
Apply for a Conference Visa for attending ICEEA-2026 / ICETS-2026. This is the appropriate category for presenters, invited speakers, and delegates. Using an e-Visa is not recommended due to past entry issues.
Typical supporting documents
- Official Acceptance Letter from the conference organizers (download above).
- Valid passport (minimum 6 months validity from date of arrival).
- Completed visa application form for the relevant consulate/embassy.
- Recent passport-sized photograph(s) (as per embassy specs).
- Proof of travel (flight bookings) and accommodation (hotel booking or invitation).
- Proof of funds / sponsorship letter (if required by consulate).
- Conference registration receipt / payment proof.
Important Notes
- Start early: Visa processing times vary by country—some consulates take several weeks.
- Check entry rules: Verify health, vaccination, or testing requirements with the destination consulate and airline prior to travel.
- Consulate appointment: Some missions require an in-person appointment—book appointments early.
- Data accuracy: Ensure names and passport numbers match the acceptance letter exactly to avoid delays.

We strongly advise against using e-Visas for this conference. In past years, delegates with e-Visas experienced issues at the port of entry. Please apply for the official Conference Visa instead.

While not always mandatory, travel and medical insurance is strongly recommended. Some consulates may request proof of insurance—check the consulate guidance for your country.
